Executive Assistant

The MFA Companies® (MFA) is looking to grow with the addition of an Executive Assistant to support the Firm’s busiest customer-facing Members and ensure customers have a best-in-class experience with the Firm. The ideal candidate is detail-oriented, relationship-management focused, and has experience supporting busy customer-facing professionals at a high-growth professional services organization.

Responsibilities

  • Manage calendars and schedule meetings for MFA Members
  • Assist in the Firm’s sales activities, including updating pipeline, maintaining and updating CRM database, and relationship nurturing efforts
  • Provide quality review/preparation of partner correspondence, emails, presentations, business proposals, and memorandums
  • Be proactive in recognizing and implementing enhanced procedures to support the Firm’s efficiencies
  • Manage or assist with event planning for various Firm customer and/or referral source events
  • Facilitate customer meeting preparation, including material preparation
  • Facilitate internal and customer communication and meetings
  • Maintain exceptional visitor and member experience by greeting & escorting guests, communicating via email and phone, managing conference room reservations, and light office upkeep
  • Other professional and personal tasks and projects as needed

Qualifications

  • Two (2) to five (5) years of related experience as an executive assistant supporting executive leadership at a high-growth organization
  • Two (2) or more years of experience using Salesforce
  • Bachelor’s Degree
  • Proficiency in Microsoft Office
  • Exceptional attention to detail
  • Excellent communication and customer-facing skills
  • Ability to work independently on projects, prioritize appropriately, and balance multiple internal and external stakeholders
  • Flexible; available to work extended hours as needed
  • Self-directed and results-oriented with a desire to learn and take initiative
  • Ability to work independently with speed and accuracy, as well as within a team
  • Ability to exercise extreme sensitivity, discretion, judgment, tact and diplomacy
  • Ability to remain calm and effective to a variety of demands and projects
  • Ability to effectively interact with senior level management and maintain a high level of confidentiality
